About the Project
Caulfield Grammar School is embarking on a critical 2-year project to review and replace a number of core school systems. This includes the Student Management System (incl Finance System, Admissions, Alumni), Learning Management System, HCM (including Payroll, Rostering & Time sheeting) and Parent Portal/app. This project is vital to improve efficiency, reduce cost, and support the school’s strategic objectives. The Project Director will be responsible for the overall planning, execution, and successful delivery of this complex project.
Role Summary
The Project Director is a hands-on leader who will ensure strategic alignment and day-to-day management for the core systems replacement project. This role requires a highly organised and experienced individual with a proven track record of successfully delivering complex IT projects. The Project Director will be the primary point of contact for vendors, stakeholders, and the project team, ensuring effective communication and collaboration throughout the project lifecycle.
This will be a full-time, 24-month fixed term/contract opportunity based at our Caulfield Campus.
Key Responsibilities
- Project Planning and Execution: Develop and maintain a comprehensive project plan, including scope, timelines, budget, resources, and risk management strategies. Oversee the execution of the project plan, ensuring milestones are met and deliverables are achieved on time and within budget.
- Vendor Management: Manage the performance of selected vendors throughout the project lifecycle. Ensure effective communication and collaboration with vendors to achieve project objectives. Address any performance issues and escalate as needed.
- Stakeholder Management: Proactively engage with key stakeholders, including school leadership, teachers, admin/operational staff, students, and parents to ensure their needs are understood and addressed. Communicate project progress regularly and transparently.
- Change Management: Develop and implement a change management plan to support the successful adoption of the new systems by school staff and users. Provide training and support as needed.
- Team Leadership: Lead a project team, fostering an engaging, collaborative and supportive environment. Provide guidance, mentorship, and performance feedback to team members.
- Risk and Issue Management: Identify, assess, and mitigate project risks and issues. Develop contingency plans and escalate issues to appropriate stakeholders as needed.
- Budget Management: Manage the project budget effectively, ensuring cost control and value for money. Monitor expenses and report on budget status regularly.
- Reporting and Communication: Provide regular project updates to school leadership and other stakeholders. Prepare reports on project progress, risks, and issues.
Essential Skills and Experience
- At minimum, a Bachelor’s degree in Information Technology, Project Management, or a related field.
- Proven experience (5+ years) in leading complex IT software implementation projects including the integration of platforms from different vendors.
- Demonstrated experience in complex core systems replacement projects including successful migration of data from legacy systems to new core system ensuring minimal disruption to business operations.
- Past experience leading end-to-end data migration projects, consolidating data from multiple sources while ensuring data integrity. This includes planning, execution, and oversight of all phases from assessment and extraction to transformation, cleansing, loading, and validation.
- Strong understanding of project management methodologies (e.g., Agile, Waterfall).
- Excellent vendor management and negotiation skills.

- Strong leadership and team-building skills.
- Ability to work effectively in a fast-paced and dynamic environment, education sector experience highly valued.
